21/4/2025 (Week 01)
Dr. Mike briefed us about our assignment, some notes are:
- Our group need to have students from different disciplines
-
We need to help the clients to research and propose a
solution
-
Our final presentation may not be following the timetable as we
need to align with our client timing too
- There will be peer evaluation at the end of the project
After that, we were given a link to the team list Excel sheet. I wrote
my name under the group Wayang Mind - Mindfulness Solution. Our group
was formed with 6 members:
1. Chin Jia Wei (Me)
2. Leia Nishimoto Rizal
3. Chan Sueanne
4. Tee Jia Ern
5. Tan Sin Mi
6. Sung J Xin
7. Dong XinBei (Joined on week 3)
Decide a Topic
We opened a Whatsapp group and discuss a little on the chosen
topic. We were hesitated to choose between our current topic (Wayang Mind - Mindfulness Solution) or the Wyndham Garden Shazam
Fraser’s Hill project as that was an interesting challenge and no one
is taking that topic yet. Hence, we decided to do some research and
vote on the topic we prefer on Wednesday 8pm.
Back at home, I went
through the given brief again to identify what we might need to deliver
and the skill sets we need. After listing them out, I realized that the
Fraser’s Hill project may involve more 3D modelling work to create the
mock-up, as it includes a modern Tudor-style building, an artisan
market, nature trails, and botanical gardens. I'm concerned that we
might need more time to complete it. In contrast, the Wayang Mind
project has clearer research objectives, and our deliverables are more
diverse, ranging from 3D modelling to content planning and execution.
This allows us to assign the right people to the right roles more
effectively.
After the vote, we all agreed to remain on the Wayang Mind - Mindfulness Solution project.
Research Task Distribution
I searched a template from Canva and edited to match our topic. I did 3
style with blue, green, and purple as these colours are associated with
calm and mindfulness. I prefer the blue and purple more.
After all the members voted which one they prefer, we are going with
blue color.
I studied the senior slides and our topic and identify the task for this
week. Each member choose their preferred task and we start working on
our parts.
Task distribution as:
Overview (Jia Wei)
Competitor x3 (J Xin)(Leia)(Jia Ern)
Target audience
corporate worker x1 ( Sueanne )
Uni college students x1 (Jia Wei)
Travellers x1 (Sammi)
28/4/2025 (Week 02)
This week, our goal was to decide on our key target audience based
on our research. Since there were three target audiences and three
groups in total, we used Google Draw to randomly assign one
audience to each group for fairness. Our group was assigned
corporate workers
as our target audience.
We then distributed tasks among members for further research.
My responsibility was to conduct deeper research on Wayang Mind
and EDT.
I compiled all relevant links, findings, and key points, and
organized them on our MIRO board for the team’s reference.
5/5/2025 (Week 03)
During the physical class, we worked together to create our initial
personas. Before that, we already did some basic research to better
understand the target audience. Based on the research, we identified
three types of users to focus on.
We then discussed their characteristics in more detail, including
their personalities, frustrations, and behavior. These personas are
still in the early stage, and we’ll refine them later after conducting
interviews and surveys. I shared our discussion points in the group
chat, and some members volunteered to complete the personas in Miro
Board.
During the EDT online briefing on 6 May, I took notes and asked a few
questions we had in mind. I learned that Wayang Mind is working on
positioning VR immersion as a tool for general relaxation, rather than
something that’s only meant for people with mental health issues. That
gave me a clearer picture of the direction we’re heading for.
12/5/2025 (Week 04)
My task for this week:
- Discuss initial persona
- Work on survey questionairre
We had our initial personas reviewed by Dr. Mike, and he reminded
us to includes the sources and links we used as references directly
in the Miro Board. It helps create a clearer and more transparent
workflow for both the lecturer and our team. After our
personas were approved, Dr. Mike gave us the green light to move on
to the data collection phase. We decided to conduct both interviews
and surveys to gather more in-depth data about our users. I then
posted the task list in our group chat and asked for volunteers. I
personally volunteered to take on the survey questionnaire and 1
interview.
19/5/2025 (Week 05)
My task for this week:
- Visit EDT, understand what the company does and want
- Finish and get approval on survey questionnaire
We visited the EDT studio. During the visit, I had the chance to
try their VR headset in person. Experiencing it firsthand felt
completely different from just hearing about it during the online
briefing and imagining it based on their Youtube videos. It was
immersive and surprisingly relaxing. Although I couldn’t fully relax
due to being aware of my group mates and other groups watching me. I
believe that in a darker, private environment, the experience would
be even more effective. This helped me understand that the product
itself is already strong; our focus now should be on creating
branding that fits their vision.
This week, I also worked on the survey questionnaire. After creating it in Google Form, I submitted it to Dr. Mike for
review. He advised me to remove the MBTI section, as it was
unnecessary, so I made the adjustment.
26/5/2025 (Week 06)
My task for this week:
-
Distribute survey link along with members, get at least 80 responses
by end of the week
- Finish and get approval on survey questionnaire
- Conduct 2 interviews
Everyone in the group was responsible for distributing the survey
link. Since we had 7 members, I initially thought it would be easy
to reach our minimum goal of 80 responses, as we just need 13
responses per person. However, the process took longer than
expected, and there wasn’t a proper system to track how many
responses each person had gathered. I noticed that a senior group
created a respondent tracking list in the Miro Board, which clearly
recorded who contributed how many responses. I realized that having a transparent system like that not only keeps
things organized but also helps motivate members to contribute more
fairly. It was challenging as it was hard to trace back their effort
as we are sharing the same link.
As for the interviews, our group planned to interview 5 people, but
some members couldn’t find interviewees until the last minute. I ended
up taking on two interviews myself to cover for this.
2/6/2025 (Week 07)
My task for this week:
- Transcribe 2 interview to google documents
- Check Insight Discovery part on Miro
I transcribed the two interviews I conducted and uploaded the raw
transcripts into a shared Google Drive for the team to
access.
The rest of the members who is not in charge with interview worked on
the data analysis and insight discovery part
9/6/2025 (Week 08)
My task for this week:
- Complete Insight Discovery part on Miro
- Complete How might we statement
- Discuss ideation
We did the insight findings and after all members submitted their
five findings, I grouped and categorized them, then created five key
Insight Statements based on the themes. Once completed, I submitted
them to Dr. Mike for feedback again. After approval, we can move on to
the Problem Statement and How might we Statement. I'm in charge of working on the How might we Statement. I
added those in our Miro Board and get approval from Mr Mike.
On Saturday 10pm, we have an online meeting to discuss our ideation.
16/6/2025 (Week 09)
My task for this week:
- Complete presentation slides
- Finalize Sub-Logo
I was in charge of the branding section, which included compiling
slides for ideation, problem statement, “How Might We” statements, and
branding elements.
For the branding, I developed our tagline: “Recharge and Return
Refreshed”, and also a localized version as “Recharge Kejap, Balik
Sharp.” I added our brand personality as friendly, modern, and
professional and created a positioning statement.
Leia, Sueanne and I had created some sub logo options and we set up a
vote, my logo was selected through the team vote.
After the colour scheme was confirmed, I added all the design direction in the slides, which included the proposed sub-logo,
our color scheme, typeface, and our key visual. I also made some changes
to our app design and added as our key visual.
I also worked on the space set up plans, which consist of three
options: VR headset pod, projector room, and hybrid room. For each
plan, I described what it includes, the minimal space required, the
type of company it suits, and the benefits it offers. I also
highlighted common features across all setups, such as
in-use/available signage, seating, soundproof materials, hygiene kits,
and lighting options.
I reviewed our Miro board to ensure all necessary content was
included and informed team members if anything from their part was
missing.
23/6/2025 (Week 10)
Our goal for this week is:
- Finalize presentation slide
- Get approval on our Presentation Slide
- Presentation practice
- Check and complete all task on Miro board
I worked on the brand positioning and branding slides, and did a final
check on our presentation slides to ensure everything included was
relevant. I also added missing parts, like researching local competitors
(MentCouch), since our existing ones were mostly Western-based.
A key visuals weren’t done on time by a member, so I created additional
ones myself. Since I’m in charge of the space solution, I designed a key
visual sample for the "available/in-use" signage to show how our branding
could look other than the app. This helped our concept feel more complete.
However, our presentation was delayed to next Monday. Hence, we have some
extra time to complete the remaining task on Miro board and the progress
tracker. I sent the tasks to be done and let the members choose.
Our task distribution as below:
Progress Tracker
Gantt Chart + Consultation Note + Next Course of Actions - Jia Wei (me)
Define challenge + Create project plan - Sammi
Project brief + Challenge analysis - Sueanne
Target audience + empathy persona 1,2,3 - Xinbei
Defining the insight - Leia
Ideation + Reality Check - Jia Ern
Describe the idea - Jxin
Weekly Progress Update - Everyone
Miro Board
Goal Statement (Jia Wei)
User Journey Map (Leia + Sueanne + XinBei)
User Stories (Jxin)
Customer Journey Map (Jia Ern)
(Deadline on Saturday 5pm)
On Friday at 10 PM, we had our first presentation practice. We realized it
was too long, so we trimmed the content, like reducing competitors from
five to three and focusing only on key information relevant to the client.
To keep the flow smooth, we also reduced the number of presenters to avoid
delays between transitions.
Proposal Presenters:
1. Chin Jia Wei (Me)
2. Leia Nishimoto Rizal
3. Chan Sueanne
4. Tan Sin Mi
On Sunday, I checked the Miro board and progress tracker and noticed
that some tasks assigned on Tuesday were still incomplete even after
reminder. To avoid delay, the remaining tasks was reassign to XinBei,
as she isn’t presenting and produces good quality work.
30/6/2024 (Week 11)
Our presentation slides were approved. Although our actual presentation
was postponed to the following Monday, we still went ahead with our
practice session. During the rehearsal, we realized that our
presentation was too long and exceeded the time limit, so we decided to
remove some slides and shorten certain parts.
On Monday at 2:30 PM, we had our proposal presentation with
Mr. Fariz. We are glad that he liked our presentation, he did
give us valuable feedback on what we can research more on like
it would be better if we have competitor from southeast asia
instead of western country and how do these brand localise VR
in their country and like how scents can be implemented in vr
room.
Hence, we did some further research on these
topic that he might wanna know. the task distribution as below:
Based on the tasks divided among the team, I was in charge of
researching competitors in Southeast Asia and creating a benchmark
chart to compare them. Out of curiosity, I also explored how other
countries localize their relaxation-based VR experiences. One
interesting example I found was Loft Thai, a brand that integrates
VR technology into massage services.
7/7/2025 (Week 12)
This week, our team discussed finalizing the deliverables we
wanted to include for our final project. After brainstorming, we
decided to work on a series of outputs such as Instagram ads,
Instagram posts, booth setup, app design, space setup, brochures,
and merchandise. For my part, I was responsible for updating both
the user journey map and the Gantt chart. While at the same time,
the members are in charge of exploring the moodboard for their
deliverables.
On Thursday, I completed the Gantt chart and then shared it with
the team so that each member could put in the estimated number of
days they needed to complete their individual tasks. In terms of
design work, I refined the homepage by adjusting the face icon to
ensure it aligned better with our overall visual style. I also
took charge of the Instagram puzzle feed teaser post. I created a
moodboard to get inspiration.
I also gathered references and created a mood board for our
teaser video. I sourced a calming background music for it. I
planned to incorporate some scenes from Wayang Mind to show as
snippets, so I screen recorded certain parts in preparation for
the editing process.
14/7/2025 (Week 13)
This week, I focused on preparing the visual and space mock up. I
researched a few VR space mockups to gather references for how our
setup would look like. I listed down the items we might need in the
space, including bean bags, tables, VR headsets, cleaning kits, aroma
diffusers, projectors (minimum 3 to project map all 4 walls) In
particular, I did further research on aroma diffusers as Mr.Fariz seem
very interested to explore this in Wayang Mind, so I thought that
would be helpful. I searched for the brand that produced it and how
they can contribute to enhance the sensory experience of our VR
space.
Based on the mood board and references I gathered last week, I went
on to design the teaser puzzle post and teaser video for our brand’s
Instagram page. I also completed the teaser video, incorporating the
visuals and sound that were previously recorded.
Teaser Video for Instagram
As for the space mockup, I initially created a version with a
line-art sketch style with C4D. However, I later found out that we
would need a fully detailed and complete mockup, so I’ll be revising
that in the upcoming week.
21/7/2025 (Week 14)
This week, I focused on redoing and finalizing the app prototype as
the app done has lacked some key functions and had incomplete linkages
between screens. I added more necessary features and completed the
main user flows to ensure a functional and interactive prototype. All
screens are linked accordingly to reflect the intended user journey in
different phases.
App Prototype Progress on Figma
In addition, I created some texture for a teammate who was working on
the exhibition booth mockup. These textures were used for key booth
elements such as the table, wall, TV, banner, and
brochure.
I also began working on my merchandise design, which is a miniature
beanbag keychain as part of our promotional items for brand advocacy.
I also did a cardboard VR headset with our logo to be used in our
referral page.
28/7/2025 (Week 15)
This week, I continued working on the app prototype. As more
features were added, I needed to create and link additional pages
to maintain a smooth and complete user experience. It was tiring
but I felt satisfied when the prototype flow was working. I also
continued on the space mockup in photoshop. I added textures and
detailed elements such as the beanbag, table, VR headset, cleaning
kits, and more, to better visualize the space.
In preparation for the final presentation, I began working on the
slides. I reviewed and updated the existing slides, like the user
journey map, and compiled all our deliverables. I also worked on
the slides covering our extended research questions. I'm
especially grateful to have Sammi, Xin Bei, Leia and Sueanne for
helping with the slide preparation.
6/8/2025 (Week 16)
Finals Presenters:
1. Chin Jia Wei (Me)
2. Leia Nishimoto Rizal
3. Chan Sueanne
This week was our final presentation, and we’re really glad that Mr.
Fariz responded positively to our work and presentation. The only key
feedback points he mentioned was the idea of including a feature that
allows employers to view the overall mental wellness trends across
different departments in a graph or analysed data. We found this to be
a valuable suggestion, and we discussed our idea about that later.
However, after some discussion, we realized that if this feature were
visible to employees (if they can see the button but couldn't access
it and know that their employer would be able to access it), it might
unintentionally cause stress even though knowing it shows only
anonymous or generalized data. Some users might feel like they’re
being monitored or judged, even when privacy is respected.
This raises an important design consideration about trust,
transparency, and user comfort, especially in wellness-related
applications. One of us suggested we might need another app (like
Whatsapp business and Whatsapp). I’m not sure if I’ll be able to
implement this idea into a new prototype before the final submission
due to time constraints, but I’ve been thinking about possible
solutions, and this is something really important and good to be
refined and explored further in future iterations of the app.

REFLECTION
Experience
Throughout this project, I learned how to apply the design thinking
process — from empathizing with users to conducting research, collecting
and analyzing data, and developing relevant solutions. I also discovered
that following a process is not enough; it is equally important to truly
understand the client’s perspective. Instead of working on what we
personally like or think is best, I learned to focus on the client’s
needs, pains, and goals. This means that we should beyond generic online
research and ensure that the solution is tailored specifically for the
client’s situation.
Observation
I learned to recognize and leverage the strengths of each team
member. For example, members skilled in graphic design handled
social media posts, while those with 3D design expertise worked on
3D-related tasks. I often prepared a task distribution list for
members to fill in based on their skills, rather than assigning
tasks directly. This allowed them to work on what they excel at,
producing better quality work and increasing overall team
efficiency.
Finding
In this project, I gained valuable insights into task distribution, time
management, and the use of collaborative tools. Moving away from only
rely on WhatsApp for communication, I learned how tools like Miro Board
and Gantt charts can make project progress more transparent, traceable,
and structured. These tools allow us to visualize timelines, quantify
task durations, and ensure even distribution of work.
As the group leader, I discovered the importance of not only managing
the project but also ensuring consistency in the final outcome. Crisis
management became part of my role too. If a member could not complete
their task, I had to decide whether to reassign it or handle it
myself, so that we can present the client with our best possible
outcome, not an unfinished product with excuses.
